Workflows are essential for business process automation, helping to streamline tasks, improve efficiency, and ensure consistent execution. This guide will walk you through the process of creating, configuring, and managing workflows in Fivegrid using its user-friendly interface.
Log in to your Fivegrid account.
Navigate to the "Workflows" tab on the dashboard.
Click on "Create a New Workflow" to begin.
You will be redirected to the New Workflow page.
Enter a descriptive name for your workflow to easily identify it later.
Select the Segment trigger to initiate the workflow
Click on the segment name field.
Choose from the available segments.
Proceed to the next step after selecting the trigger and segment.
Click on the "Save" button after setting up the trigger.
In the Actions section, browse the list of available actions.
Drag and drop the desired actions into the workflow preview area.
Configure specific fields based on the selected action. For example:
If selecting "WhatsApp Message", choose a template from the list.
Click "Save and Create" after configuring each action.
No more than 5 consecutive WhatsApp messages.
Avoid duplicate consecutive WhatsApp templates.
To introduce a delay between actions:
Drag the Time Delay option into the workflow area.
Choose the delay period (days, months, or minutes) and enter the desired value.
Set specific execution times or days if needed.
Click "Save and Create" to finalize the time delay.
Days: Maximum 179 days.
Months: Maximum 11 months.
Minutes: Maximum 719 minutes.
The "Next Step By" field must be greater than 0.
Workflows cannot end with a time delay.
No consecutive time delay steps.
After configuring all steps, a "Workflow Created Successfully" message will appear if everything is in order.
After creating workflows, it's important to manage them effectively, including changing their status, deleting them, and verifying execution.
Go to the Workflows tab.
Locate the workflow in the list.
Check the toggle button: Green indicates an "Active" status.
Open the workflow details.
Click "Edit" and change the status to "Inactive" if needed.
Save changes. A confirmation message will appear: "Workflow Status Updated."
Find the workflow you want to delete.
Click the delete icon or follow the deletion process.
Confirm the action. A message like "Workflow Deleted" will be displayed.
